No. The system reads from where the documents already live, under the access rules those systems already enforce. Moving them would create a second copy to keep current, and a second place for permissions to drift.

Usually not, and it is one of the things the diagnostic measures. Out of date and duplicate documents are the common case. What does block a build is having no owner who can decide which version is authoritative.

No. Your documents are retrieved at query time and passed to the model as context for that single answer. They are never used to train a shared model, and the processing location and retention period are agreed in writing before any document is ingested.
